We are seeking a highly organized, resourceful, and proactive Executive Assistant to support the CEO of a fast-paced, creative organization. The ideal candidate thrives in a dynamic environment, balancing professional executive support with hands-on personal assistance. This individual will act as an extension of the CEO—anticipating needs, managing priorities, and ensuring seamless day-to-day operations across both business and personal spheres.

Key Responsibilities

Executive Support

  • Manage an ever-changing calendar, including scheduling meetings, events, and travel across multiple time zones.
  • Prepare agendas, briefing materials, and presentations for executive meetings and creative pitches.
  • Serve as the gatekeeper for the CEO’s time, communications, and commitments.
  • Coordinate high-level meetings and creative sessions, ensuring follow-up on key action items.
  • Support project tracking, communication flows, and deadlines across internal teams and external partners.

Project & Creative Coordination

  • Collaborate with creative, marketing, and production teams on brand initiatives and strategic projects.
  • Support the CEO in managing partnerships, collaborations, and special projects within the creative industry.
  • Conduct research, compile reports, and manage creative decks or mood boards as needed.
  • Assist with event coordination—press events, photoshoots, openings, and client gatherings.

Communications & Relationship Management

  • Act as liaison between the CEO and stakeholders including clients, partners, talent, and team members.
  • Draft, proofread, and edit communications and presentations with exceptional attention to tone and brand.
  • Handle confidential and sensitive information with the utmost discretion.

Personal Assistant Support

  • Manage aspects of the CEO’s personal life to ensure work-life balance and efficiency.
  • Coordinate personal appointments, household schedules, and family logistics.
  • Assist with special personal events and celebrations.

Qualifications

  • Bachelor’s degree required
  • 5+ years of combined Executive and Personal Assistant experience, ideally supporting a creative executive or founder.
  • Experience in creative, entertainment, design, or media industries strongly preferred.
  • Exceptional organizational and time-management skills; thrives in a fast-paced, ever-changing environment.
  • Strong written and verbal communication skills with impeccable attention to detail.
  • High emotional intelligence, discretion, and professionalism.
  • Tech-savvy with proficiency in Google Workspace, Microsoft Office, Slack, and project management tools
  • A proactive problem solver with an ability to anticipate needs and take initiative.
  • A natural multitasker who brings grace, flexibility, and creativity to every challenge.
